Minutes

Tuesday April 3, 2007 5pm Meeting #2 in Parish House

Conference Room

 

Present: Fr. Bajorek, Jane Banik, Tom Felton, Ernie Menold, Jack Quindlen,     Ken Margolis

 

v   Fr. Bajorek opened the meeting with a prayer.

v    Tom presented a Company profile of Traditional Architecture, Inc.

 

2A. Minutes from March 20th meeting were discussed and approved with the only revision to establish a numbered list of discussion points that will carry over as a running sequence for all future meetings to allow an easy way of  tracking and accomplishing agreed upon action items.

 

2B. Written report of Structural engineers visit on April 2 pertaining to the Church roof, HVAC and electrical transformers inspection will be available in a week or so and distributed to the BCM (Building Committee Members)

 

2C. Tom will update the drawing of the Gym floor and show all existing cut outs such as mic jacks, and line for basketball and valley ball. The drawing will be distributed to those groups of Òhigh useÓ users for their needs input and once this is established, a finished drawing will be prepared and circulated for approval.

 

2D. We discussed the importance of communication to our parishioners, so as a start, these communication venues will be used.

á      2E- The weekly bulletin will include a section from time to time that contains frequently asked questions and answers will be provided. Parishioners will be encouraged to ask the BCM questions via email or in person. Jane will coordinate this effort and provide the BCM a draft of the first series of questions we discussed today.

á      2F- The minutes of the BC (Building Committee) will be posted on the SJC Web site and parishioners alerted accordingly.

á      2G- Every three-four months, the minutes will be summarized into an insert for the weekly bulletin.

á      2H- Tom will update the artist rendering of the project renovations and incorporate written text of what is new in contrast to what remains, example, the inside of the church, statues remain in same location.

 

2I- The Blessed Sacrament Chapel inside of the Church will remain an open area with current thoughts to use as a reconciliation and or Shrine area.  Further study is required.

 

2J- The Project Time Line draft was reviewed and key issues discussed, such as best time to do the church interior updates, traffic flow and parking lot changes and obvious best time is St. JohnÕs slowest time, the summer months. The following was agreed upon.

 

á      2K- Tom will update the time line and incorporate the changes discussed, extend design development, extend approvals, break out church interior work that requires the church to be closed for the minimum amount of time from that work that can take place while the church is open and separate Civil engineering documents from the approval process.

á      2L- Jack Q will coordinate the Township approvals process between TomÕs firm, St. JohnÕs employed Civil Engineer and the Township engineer.

á      2M- BCM will receive copies through Tom of all engineersÕ bids.

á      2N- All BCM will receive and review copies of Traditional Architect, Inc initial proposal for future discussion.

 

2-O- All unresolved minute action items will be part of future agendas.

 

v   Next Steps:

 

á      BCMÕs to complete action items as stated above and as pending from March 20th meeting.

á      The Building Committee will meet on Tuesday May 1st, 5pm in the Parish HouseÉÉÉÉÉÉÉÉÉÉÉÉÉÉÉSubmitted by KM
