Tuesday March 20, 2007 5pm Meeting #1 in Parish House

Fr. Bajorek opened the
meeting with a prayer and a brief overview of the Feasibility study.
v
Tom Felton provided a Project
Overview that included:
á
1A- A Summary of where
we are today.
á
1B- Review of conceptual
drawings and project design work completed to date.
1C.-Open
discussion ensued with a focus on the eventual project bid process, whereas,
the committee in close collaboration with the architect will invite contractors
to solicit bids on behalf of St. JohnÕs. In an effort to provide the
contractors with enough bid information, it was agreed that TomÕs firm would
take the drawings to the next level that allows for a design development bid
process. This method will eliminate the need for a construction manager at this
stage of the project, therefore reducing St. JohnÕs cost by eliminating
redundant fees.

Issues were discussed that include:
á
1D-The importance of maintaining
a kitchen area in the lower church hall.
á
1E-All of the new
parking spots in front of the church will be designated as handicap parking.
á
1F-Further space study
is required in the Sacristy with a possible thought to use the Blessed Sacrament
Chapel as a Choir room.
á
1G-It was agreed that a
doorway through the music room closet is not practical due to its current use
and the high level of traffic through the Sacristy during weekend Mass.
á
1H-Existing HVAC and Transformer
sizes will be studied and confirmed whether or not they are adequate to handle
the project update.
á
1I-Concerns about the
amount of space in front of the Altar, once it is moved forward will be
studied.
á
1J-Building permit
timing was discussed and suggestions offered to minimize the wait.
á
1K-Need to give careful
consideration to site drainage issues regarding proposed parking in grassy area
in front of School/Convent. Tom to
send Jack a site plan CAD file to review.
Jack to informally discuss drainage issues with Gus Houtman (civil
engineer) and report back.
á
1L-Discussion of keeping
this project as a single construction package, as much as practical - and not
"peeling off" separate contracts any more than necessary. This
ensures the greatest level of bidder interest - and more importantly - keeps us
from having to coordinate the various efforts.
á
1M-Gym floor sample
examined. Fr. Bajorek to informally speak with parishioner Bob Linden, who owns
a commercial floor installation company, to seek his opinion of the proposed
product.
á
1N-Discussion begun on
proposed construction timetable - consensus that it should take place during
the summer - no sacraments, no school, no CCD, and weekly Mass attendance tends
to be lighter. However, unsure whether we can secure necessary permits in time
for a summer 2008 project. Need also to check on how many weddings are planned
for summer 2008 already. Will
summer 2009 cause us the need to augment the target figure, due to inflation
eating away at the construction budget?
Important issue - needs careful discussion.

Next steps:

1O-Tom will expand
drawings to design development stage.

1P-Tom will prepare the first
draft of a project time line to be studied and discussed during our next
meeting.

will meet on Tuesday April 3rd, 5pm in the Parish House
