Minutes

 

Wednesday January 2, 2008, 4pm Meeting #13 in Parish House

 

Present: Building Committee members Fr. Bajorek, Tom Felton, Jane Banik, Jack Quindlen, Ernie Menold, John Brennan and Ken Margolis along with invited guests, Rosemary Endres and Mike Keller.

 

v   Minutes from the December 12th meeting were previously approved by email consensus and posted on our Web Site.

 

13A. Consensus was reached to proceed with all project renovations as planned and presented in the feasibility study, dollars permitting.

 

13B. Consensus was reached to proceed with Sanctuary changes that include:

 

 

13C. The wood beam sample was discussed and it was agreed that a second sample will be ordered that closer depicts a structural beam design, painted white and both samples will be used as mock ups, lifted to the ceiling and evaluated for further design study and or confirmation purposes.

 

13D. Tom will follow up with Rich McCartney and schedule the light simulation as per our December 12th minutes and provide to Jane all design information for JaneÕs study and comment.

 

13E. Jack presented an overview of the bid process held at SJC on December 17th. Six contractors are expected to submit pre-bids, due on Friday January 18th. Jack also discussed his efforts with regards to required Township and state approvals.

 

13F. It was agreed that the pre-bids will all be opened at the Parish House on January 18th at 5pm. Fr. Bajorek, Tom, and Jack will be assisted by those Building Committee members that are able to be present. All bid information will be placed on a spread sheet, distributed to all BCMÕs and remain confidential.

 

13G. BCMÕs were asked to submit to Tom, bullet point thoughts of key criteria that will become part of the interview process with those Contractors selected to submit firm bids. Individual interviews and what the BCMÕs determine as adequate due diligence will be scheduled accordingly.

 

13H. A lengthy conversation ensued with regards to renovation logistics, time line and next steps that included renovation timing, (summer or fall); multiple phases commence simultaneously or separate. Fr. Bajorek presented a glance at the 2008 calendar from May through December to help with this effort. What if scenarios pertaining to real costs exceeding that of available funds were also discussed and it was agreed to be open to new ideas and methods to reach our goal and further discussion will happen after the per-bids are received.

 

13I. It was agreed that the Church HVAC is updated during the renovation work. A meeting will be scheduled with ERS in February to review their survey of our existing system and their recommendations to update and or replace what we have. Further study and cost substantiation needs to be done.

 

v   Next Steps:

 

á      BCMÕs to complete action items as stated above and as pending from previous meetings.

á      The Building Committee members will meet on Tuesday January 29th at 4pm with the focus on the pre-bids and next steps.
